A lot of volunteers have already started helping with planning, here are the areas that will need volunteers over the next few months:

Auction Promotion
Work with the chair to draft newsletter updates, auction e-mails, church bulletin announcements, Facebook posts, etc.

Basket Wrapping
Wrapping the silent auction packages that are put together. This is done on sight at the school during the school day.

Catalog Advertising
Sell advertising spaces in our auction catalog to past and prospective advertisers.

Catalog Volunteer
Helps assist in proofreading the auction catalog.

Decorations
Translate auction theme into venue and centerpieces. Arrange centerpieces on the table the day of the auction.

Office Support
Assist with auction mailings, stuff bidder packets, label bidder files, etc.

Parish Liaison 
Provide a connection between the school auction and the local parish community.

Procurement Committee
Procure items, packages and gift certificates.

Raffle Chair 
Coordinates pre-selling of raffle tickets.

Reservations Team
Coordinates guest reservations. 
Assists with guest seating and table assignments.
Assigns bid numbers and assembles bidder packets.

Set-Up (May 4th & 5th)
Perform tasks such as setting up tables and chairs, laying out table clothes, arranging items for silent auction, etc.

 

Working the night of the auction can include any of the following duties:

Banking
Welcome guests as they arrive and check them in. Volunteers will be trained but familiarity with computers is important. These volunteers work the entire event as they help with behind the scenes entry & organization and check guests out at the end of the night.

Claims
Answer bidder questions and remove items purchased at the guaranteed purchase price. When silent closes, volunteers pull bidder sheets & sort items for pickup. Give items to winning bidders at check-out.

Clean-up Chair
Directs clean-up efforts and remove left-over items from Elks.

Clean-up Committee
Remove auction catalogs, signage and any unclaimed auction items from the Elks.

Floaters
Display speciality items & help sell raffle tickets while circulating throughout the crowd. You still get to socialize with guests while also encouraging bidding!

Gaming
Help sell raffle tickets during the event, explain rules of games to guests, and encourage them to participate.

Item Pick-Up
Pick-up and deliver auction items from businesses and certificates and deliver them to SJB.

Logistics
Packs, moves and unloads items from SJB to the Elks.

Markers for Live Auction
Track bidder/winner information for each live auction item.

Runners
Run bidder/winner information for live auction items back and forth to Banking.

Silent Auction Checker
Confirms packages are batched to the correct bidding sheets.

Thank You Committee
Write and send out personalized "thank you" cards.
