A lot of volunteers have already started helping with planning, here are the areas that will need volunteers over the next few months:
Basket wrapping – Wrapping the silent auction packages that are put together. This is done on sight at the school during the school day.
Catalog Advertising – Sell advertising space for the catalog. Obtain ad graphics, photos, etc. Work with the catalog coordinator to ensure all advertising is included in the catalog.
Set-Up – Perform tasks such as setting up tables and chairs, laying out table cloths, hanging decorations, arranging items for the silent auction, and many others. Set-up will occur on April 5th & 6th.
Working the night of the auction can include any of the following duties:
Banking - Welcome guests as they arrive and check them in. Volunteers will be trained but familiarity with computers is important. These volunteers work the entire event as they help with behind the scenes entry & organization and check guests out at the end of the night.
Claims – During the silent auction, answer bidder questions and remove items purchased at the Guaranteed Purchase Price. After a silent auction section closes, these volunteers pull the bidder sheets and then sort auction items by winning bidder for pickup at the end of the evening.
Merchandise Pick-Up – After guests check-out, provide all items to winning bidders. Work with bidder to address any problems/missing merchandise as needed. Ensure bidder has assistance with carrying items to car, if needed.
Floaters - Display jewelry, specialty items & help sell raffle tickets while circulating throughout the crowd. You still get to socialize with guests while also encouraging bidding!
Gaming - Help sell raffle tickets during the event, explain rules of games to guests, and encourage them to participate.
Display Handlers - The Vanna Whites of the auction! Display certain live auction items on the stage and through the crowd to show guests the item as bidding occurs.
Markers for Live Auction - Volunteers track bidder/winner information for each live auction item.
Runners - Volunteers run bidder/winner information for live auction items back and forth to Banking.
Clean-up – Clean-up occurs at the end of the event & the day after and involves removing decorations, general clean-up and loading up whatever needs to return to the school.
